Description

Receptionist:
The Receptionist greets all visitors and operates the switchboard for all incoming callers.  All calls must be greeted cheerfully and inquiries made to ensure that they are directed to the appropriate personnel in a timely manner.  This position requires exceptional customer service and communication skills.   

Responsibilities of the Receptionist:

  • Provide exceptional customer service to all internally and externally.
  • Manage a 7 line switchboard and direct all calls promptly to correct personnel.  
  • Answer calls within 5 rings in a professional and cheerful manner.
  • Greet and check in guests and visitors.  Pass out and collect visitor badges when necessary.  
  • Update the Master Calendar with absences and email those weekly to Human Resources.
  • Check the fax machine and distribute faxes as they come in.
  • Schedule Conference Rooms and company vehicles.
  • Update the Welcome Screen on the Lobby LCD screen client names and company logo for client meetings.
  • Update company phone directory and Reception Guide when needed.
  • Notify Building Maintenance when anything in the Lobby needs attention.
  • Assist Customer Service by closing Sales Orders in the Traxit system.
  • Assist in assembling Welcome Kits for Traxit clients.
  • Enter New and Renewal Warranties in the CS Manager system.

Requirements of the Receptionist:

  • Associates Degree in Office Administration preferred; High School Diploma or equivalency required.
  • Experience can replace higher education requirement.
  • Must be punctual and dependable.  Excellent attendance is crucial.
  • Ability to maintain confidentiality.
  • Strong interpersonal as well as written and oral communication skills.
  • Accurate data entry and time management also critical.

General Comments:

Monday through Friday 8:00 a.m. to 5:00 p.m. 

$15.00/hr
