Job Title: Executive Administrative Assistant

Location: Gloucester, NJ 

Salary: 35k-45k (Dependent Upon Experience) 

Shift:  1st


Job Summary: 

This individual will be responsible for assisting executive leadership with administrative functions in facilitating smooth and efficient office operations. 


Duties and Responsibilities:  

  • Conserve time by reading, researching, and routing correspondence; drafting emails and documents for executive leadership.
  • Manage the appointment schedules of executive leadership. Work closely with them to keep them informed of upcoming commitments and responsibilities and following up appropriately.
  • Manage all travel arrangements for executive leadership.
  • Work closely with executive assistants in other offices to coordinate meetings between executives. These relationships will be critical to your success.
  • Communicate directly, and on behalf of executive leadership with internal team members and external business people/organizations.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
  • Coordinate various offsite, meetings, and conferences for the senior team.
  • Review and submit expense report documents for executive leadership.
  • Oversee the reception area and greet external guests.
  • Organize, plan, and execute company events, luncheons, etc.
  • Manage the office, including coordinating with IT to make sure all conference room equipment is functioning properly, maintaining conference room supplies, and making sure the office break room is fully stocked (drinks, snacks, silverware, etc.), area is clean, etc.
  • Support additional needs of executive leadership's broader teams, as needed.


  • Three to five years of executive administrative experience in a fast-paced environment
  • Experience supporting executives
  • Expert proficiency with Microsoft Office (Outlook, Word, Excel and Power Point), Evernote, and other software as required.
  • Experience with or willingness to use Mac products
  • Strong interpersonal skills with the ability to build solid relationships
  • Ability to interface with all facets of the organization in a professional manner
  • You have initiative and a whatever-it-takes attitude
  • You are proactive and always looking for additional ways to make executive leadership's day easier and more efficient
  • You have strong organizational skills
