Production Administrative Assistant Job Description

We are currently seeking a Production Admin for a manufacturing company located in Duluth. The Production Admin is responsible for implementation of information to create efficiency of the manufacturing group. The position will work closely with all levels of the organization, but especially with Production Supervisors, Purchasing, and Engineering departments; dealing with diverse members across the company, and performing essential organizational support and oversight. 


  • Oversight of vendor supplied materials to verify that they are received in time to meet the production schedule
  • Maintenance of stock levels for standard, inventoried finished goods and sub-assemblies
  • Assist with monitoring part shortages and updating schedule comments to reflect accurate state of production job
  • Print and organize job releases for pre-release
  • Working with the engineering group to schedule engineering deliverables to meet production goals
  • Review production orders to verify that critical components have been ordered and received in time to meet the production schedule
  • Scan all related test and production documentation and attach all documentation to appropriate orders in ERP system to ensure accurate and complete information is included for all orders
  • Point of contact for production to provide resolution on Engineering and Parts issues
  • Working with Material Control to verify that parts have been delivered to the production group in time to meet the schedule
  • Prioritize department workload as needed to meet the production schedule
  • Interaction with Sales Group about order status
  • Eventual takeover of Internal Rejections and Returns process
  • Maintaining a workflow that ensures timely adherence to all deadlines
  • Learn the Simplex ERP so as to provide training to production members in its effective use
  • Assist with various HR issues as they arise including but not limited to:  new hire paperwork, reporting attendance to corporate office, checking call off line, distributing time sheets, fielding employee questions and directing them to the appropriate party, fielding time off requests and passing them on to the corporate office
  • Assist with maintaining and tracking OJT and feedback forms for new staff to include; Update training matrix as needed; Assist with ordering office supplies
  • Performs other related duties as assigned


  • Demonstrated organizational ability and ability to work effectively under deadlines and with multiple agendas
  • Experience in a manufacturing environment, and work with an ERP system
  • Strong attention to detail
  • Solid computer skills including familiarity with Office and ability to learn proprietary software quickly and accurately
  • Ability to sit and work from a desk for extended periods of time
  • Ability to work, and communicate across various departments and positions within the organization
  • Ability to receive and retain instructional information
  • Must be able to communicate (read, write and speak) the English language clearly
  • Ability to comply with all safety rules and requirements


General Comments

Hours:  Monday through Friday

Hours:   8:00 a.m. to 5:00 p.m.

Pay Range: $17-$18/hr
