Job Summary:

Looking for a responsible Administrative Assistant to perform a variety of administrative tasks. Duties of the Administrative Assistant include providing support to our site manager and employees, assisting in daily office needs and managing our site’s general administrative activities.

The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.

Job Responsibilities:
  • Assist in the preparation of regularly scheduled reports, as well as meeting presentations
  • Assist with new employee onboarding logistics
  • Entering RP’s/PO’s, which requires understanding of Oracle/Epicor/etc.
  • Ordering Material for Engineers
  • Ordering Office Supplies and ensuring office supplies are fully stocked, and maintaining conference rooms
  • Receiving Material and delivering to the appropriate individuals
  • Shipping Packages
  • Managing Facilities Requests related to building and cleaning services
  • Act as a liaison with our Environment, Health & Safety team to coordinate Health and Safety services and best practices
  • Book travel arrangements and submit/reconcile expense reports
  • Assist with passport and visa processing as needed
  • Assist with travel arrangements for visitors
  • Act as the point of contact for internal and external clients, providing general support to visitors
  • Manage calendars
  • Organize and coordinate logistics for meetings and events with internal and external visitors, including but not limited to employees, executives, customers, and suppliers
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Maintain contact lists, distribution lists, and organizational charts
  • Answer and direct phone calls
  • Organization/preparation, and understanding of building permits

Job Requirements:
  • 5+ years related experience
  • Proven experience as an administrative assistant
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience with Oracle/Epicor etc.
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Ability to maintain an extremely high level of confidentiality
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
