Seeking a Part-Time Office Assistant for a software development client to support the leadership team, manage the office needs, and reconcile expenses.


  • Maintain organization chart (make changes accordingly)
  • Create and distribute the Labor Analytics Maintenance Revenue Report
  • Maintain Customer Satisfaction (CSAT) Trends for the Labor Analytics Support Team
  • Track a list of expenses incurred by month to ensure expenses are reconciled properly in the MasterCard tool
  • Pay invoices and renew maintenance contracts, as needed
  • Maintain and audit the badge report monthly and ensure access is removed for any employees that should not have access and granted to those that should have access
  • Check office admin voicemails and Outlook e-mails throughout the day
  • Deliver all incoming mail and packages
  • Handle all outgoing mail including shipments via  UPS/FedEx
  • Maintain all receipts for purchases for office equipment, supplies etc
  • Generate PO’s for required services/purchases
  • Update the office calendar and accept/deny requests when conflicts arise
  • Request badges for new hires and ensure replacement badges are ordered as needed
  • Request temporary access for employees that are not assigned to the Tampa office but are using the facility for meetings or brief stays
  • Order lunches and make dinner reservations, when requested
  • Act as the office liaison to the building leasing office including sending notifications, communications about events/activities and submit work orders to them.  Additionally, report status of work orders to management
  • Prepare, organize and maintain the appearance of the office for guest and employees
  • Re-fill snacks and supplies
  • Ensure fax, copy and printing machines have toner and paper
  • Order office supplies as needed and requested; Ensure conference room is equipped with everything needed (projector, pens, dry erase markers, etc.) 
  • Clean refrigerator, microwave and toaster oven


  • Prior experience as Office Assistant supporting management and staff with administrative duties
  • Proficiency in MS word, excel, power point, and  outlook
  • Experience with Adobe Reader
  • Ability to interface with all levels of the organization
  • Ability to maintain confidentiality
  • Excellent communication skills
  • Must have experience working independently and with little to no supervision
  • Ability to dependably work Monday through Friday
