Well Known Tech Company Seeking Talented Payroll Administrator


The Payroll Administrator is responsible for all payroll functions of a bi weekly pay cycle and guarantee weekly disbursement of payroll, including full data reviews, wage and hour data from the time reporting system.  The payroll administrator will monitor attendance reports and collect necessary data, process leave request from employees, and impart valuable information regarding worker’s compensation. S/he will manage the payroll vendor and ensure effective interface between payroll system, HR department and finance system.  Incumbent is solely responsible for all payroll related activities with a close supervision of the HR Director. Provide information as needed to new hires, active, terminating and retiring employees. The payroll administrator reports to the Human Resources Director.


Bachelor’s degree preferred with a minimum of 4+ years of relevant working experience with proven skills in payroll, data entry and customer service required. Experience working with a PEO strongly preferred. Previous experience with working for a multi-state employer with multiple locations experience is a plus.

Core responsibilities include but are not limited to the items listed below:

  • Ensure the processing of new hires, temporary workers, transfers, promotions and terminations is accurate and timely. Review applicant credentials
  • The input of changes and additions to salary, position, deductions, garnishments and tax data to the payroll system for employees.
  • Maintain employee personnel files
  • Data entry of new hire and terminated employee information into company payroll and time keeping systems
  • Maintain employee time keeping system
  • Complete and process verification of employment and payroll data requests by various agencies
  • Collaborates and communicates with internal team members to ensure consistent messaging and processing of requests are completed
  • Maintains knowledge of capabilities of payroll systems including web-based reports and online payroll processing
  • Multi-pay group and multi frequency payrolls
  • Inputs and maintains changes to employee data in system to include but not be limited to W-4s, address, name, rate, direct deposit, terminations, leaves, department, job codes, EEO, worker’s comp, state changes
  • Coordinating with external payroll specialist/ ADP on all matters affecting the bi-monthly payroll
  • Managing/ tracking employee paid-time-off requests
  • Keeping personnel files with all confidential information
  • Fulfilling/ updating personnel database information
  • Maintaining/ updating employment registrations in multi-states
  • Coordinating/ tracking unemployment filings with outside service provider
  • Assisting/ responding to all employee questions regarding payroll
  • Process and reconcile time cards to ensure accurate and timely running of payroll
  • Gross to net calculation, audit and balancing
  • Ensure accuracy of payroll records by reviewing updates in status changes, tax withholdings, benefits deductions, time off accruals, retro payments
  • Initialize journal entries and balance, reconciles prior to posting, including project code analysis entries
  • Investigates and resolves payroll discrepancies including preparation of manual check calculations
  • Process Bonus, Severance, Retirement, Terminations/Layoffs, LOA's, Disability payments
  • Preparation and processing payrolls to "update" employee history for W2 purposes; knowledge of tax implications based off type of earnings
  • Review and submit child support orders, garnishments and levies; respond to notices and communication to the employee as required
  • Prepare reports and reconciliations for the Human Resources Director

  • Assists in cross-training; exhibits team spirit in working with other staff, communicating openly and in a helpful manner to ensure coordination and cooperation
